Reports To: Senior Property Manager

FLSA Status: Non-Exempt

OVERALL PURPOSE OF POSITION

The ideal candidate will have a genuine passion for delivering exceptional service and a commitment to providing a distinctive and hospitable experience to all guests and customers. This role requires excellent communication skills and the ability to efficiently manage the daily operations of the property management office. Responsibilities include answering telephones, dispatching engineers, inputting work orders, assisting with lease administration, coding property invoices, preparing monthly reports, organizing files, and maintaining general office organization. Additionally, the candidate will oversee customer bookings for the conference room and assist with the planning and execution of customer events.

ESSENTIAL DUTIES & RESPONSIBILITIES

CUSTOMER EXPERIENCE & HOSPITALITY

  • Provide an elevated welcome and point-of-contact experience for tenants, guests, and vendors.
  • Monitor and maintain the appearance and feel of the lobby and common areas, including music, scent, and digital amenity displays.
  • Support customer engagement through event coordination, amenity management, and proactive communication.
  • Assist with fitness and wellness offerings, including class scheduling and customer registration.
  • Maintain up-to-date knowledge of building amenities, area attractions, and Carr’s broader portfolio.
  • Utilize the Carr App, Visitt, and CRM systems to engage with customers, track interactions, and resolve service tickets in line with SLAs.

OFFICE & PROPERTY OPERATIONS

  • Manage the day-to-day operations of the property management office, including phones, supplies, and general organization.
  • Process work orders, dispatch engineers, and coordinate vendor services and minor repairs.
  • Prepare, maintain, and organize documentation including contracts, lease abstracts, COIs, POs, and invoice coding.
  • Support monthly reporting and file maintenance for tenants and vendors.
  • Assist with lease administration and respond promptly to tenant inquiries and needs.
  • Participate in routine property inspections and ensure follow-up on corrective actions.
  • Provide administrative support to Property Management, Engineering, and Marketing teams.

ESSENTIAL KNOWLEDGE & SKILLS

  • Ability to read, analyze, and interpret general business communications
  • Ability to write reports and business correspondence
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Strong verbal and written communication skills
  • Strong organization skills
  • Computer proficiency (including Microsoft Word, Excel or spreadsheet knowledge)
  • Excellent customer service skills
  • Ability to meet work standards and varying work schedules as necessary
  • Ability to promote teamwork among employees in order to accomplish goals and to meet the needs of the customers
  • Ability to work with others as a team member to accomplish projects

EDUCATION & EXPERIENCE

  • Bachelor’s degree from an accredited college or university, preferably in Business
