The Thaddeus Resource Center is a non-profit organization whose purpose is to restore HOPE, inspire GROWTH, and EMPOWER girls and women through education, life skill development, workforce training, and other supportive services. About the Role:

A Human Resource Coordinator at Thaddeus will provide the individual with relevant skills in a variety of HR functions (outreach/managing volunteer applications) via hands-on, on-the-job training.

The Volunteer Human Resources Coordinator will receive direct supervision from the Human Resources Manager under the Human Resources Department.

This position is unpaid, but eligible for academic or course credit if approved by your educational institution.

Responsibilities:

  • Perform a variety of general administrative tasks (outreach, manage email and phone correspondence, maintain applicants records, etc.)
  • Create job descriptions and manage online postings
  • Schedule interviews as needed and maintain excellent communication with our candidates
  • Stay organized and keep the HR Manager updated on assigned candidates as they go through the application process
  • Handle tracking volunteer applicants and helping prepare various documents, and making sure they are filed within the correct staff personnel folder
  • Assist the HR Manager with reference checks ensuring that the checks are completed in a timely manner
  • Prepare rejection and acknowledgment letters, certificates of completion, etc.
  • Mentor and develop all organization personnel for career progression and learning
  • Assist in content writing for organization-wide marketing strategy for outreach and community engagement purposes
  • Work closely with the Operations department and assist in the strategic planning process
  • Perform other assigned duties as needed

Qualifications:

Required:

  • Be actively enrolled in an undergraduate program pursuing a degree in Human Resources, Psychology or I/O Psychology (Junior or Senior level) pursuing a graduate-level degree in Human Resources, I/O Psychology OR have an equivalent combination of education, training, and experience
  • Strong technical and organizational skills in addition to excellent written and verbal communication skills, in a professional environment
  • A high level of integrity, accuracy, dependability, enthusiasm, and confidentiality
  • Excellent multi-tasking, time management, interpersonal communication, and business writing skills
  • Ability to work independently with little instructions and strong attention to details
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.)
  • Intern must have the appropriate technology, internet connection, and ability to function in a virtual capacity via Microsoft Teams

Preferred:

  • Pursuing a graduate-level degree in Human Resource Management, Applied Psychology, or I/O Psychology
  • Previous administrative and/or HR experience
  • Have an understanding of how to create and present Kahoot! Trivia games
  • Comfortable working with data and spreadsheets
  • Prior knowledge of photo/video editing software (Adobe Creative Cloud) and/or website maintenance experience
  • Graphic design experience (making flyers/other marketing materials for recruitment purposes, especially with Canva Pro)
  • Social media management experience (LinkedIn, Facebook, etc.)
  • Proficiency in Microsoft Teams and OneNote, 8×8 Work, and Adobe Creative Suite (especially Adobe Acrobat DC)
  • Prior experience working with non-profits
  • Bilingual (English/Spanish)

Learning Objectives:

  • The volunteer HR coordinator will learn how to perform a job analysis and update/post job descriptions for open positions
  • The volunteer HR coordinator will learn to properly organize and file important incoming applicant documentation in internal databases
  • The volunteer HR coordinator will learn how to collaborate with a team to achieve organizational goals
  • The volunteer HR coordinator will learn the recruitment and outreach processes for the organization
  • The volunteer HR coordinator will learn general knowledge of strategic planning and tracking volunteer applicant records
  • The volunteer HR coordinator will learn how to create and post content for candidate engagement, outreach, and recruitment purposes
  • The volunteer HR coordinator will utilize Microsoft Office Suite applications to assist in completing HR functions

Time Commitment and Working Conditions:

  • The responsibilities for this role can be performed 100% remotely or as a hybrid experience
  • Must be available to work a minimum of 15 hours per week
  • Must be available for the following VIRTUAL weekly meetings:

Weekly All Staff Meeting: Tuesdays 9:00 AM – 10:00 AM PST

Weekly Department Meeting: Tuesdays 2:30 PM – 4:30 PM PST

Individual Mentor Meeting: TBD

  • Must be able to commit 6 months to 1 year (accommodations can be made for final exams)
