Executive Assistant to Broker (Jacksonville, FL)

Location: Jacksonville, FL (Hybrid)
Travel: Up to 15–20% locally within Jacksonville, FL (including on-site support for listings, running errands, placing lockboxes, attending showings, and other in-person tasks)
Status: 1099 contractor
Hours: 20 hours per week, 10am – 2pm M-F
Compensation: $2500/month base + performance bonuses
Start Date: May 1, 2026

Position Summary
We’re looking for a high-level Executive Assistant who can operate as a right-hand to the broker and support daily administration and sales activities.
You will be responsible for protecting the broker’s time and supporting client relationships.
You will move between administration and sales seamlessly. One moment you’re coordinating a closing or inputting listings. Next, you’re following up with leads or supporting client communication.
Responsibilities
Executive Support
- Manage and maintain the broker’s calendar, including scheduling showings, meetings, and appointments, while prioritizing high-value activities
- Oversee inbox management by organizing communications, responding when appropriate, and flagging urgent items for follow-up
- Track and manage daily priorities, ensuring all tasks, deadlines, and follow-ups are completed on time
- Coordinate all real estate logistics, including showings, inspections, appraisals, closings, and vendor communication
- Input and manage property listings in the MLS with accuracy and attention to detail
- Review transaction files to ensure all documents are complete, accurate, and compliant before submission
- Submit all required paperwork and documentation for compliance in a timely manner
- Draft and send professional client communications, including emails, contracts, and updates throughout the transaction process
Client Care
- Maintain a high-touch client experience by managing ongoing communication throughout the buying and selling process
- Conduct client check-in calls to ensure satisfaction, answer questions, and strengthen relationships
- Coordinate and send client gifts, closing gifts, and thoughtful touchpoints to enhance the overall experience
- Support lead follow-up efforts by contacting prospects, nurturing relationships, and ensuring no opportunities are missed
- Keep client records and notes updated within the CRM to maintain accurate and organized data

Minimum Qualifications
- 1–3+ years of experience in real estate, executive assistance, or administrative support
- Active Florida Real Estate License (strongly preferred)
- Strong understanding of real estate transactions, timelines, and terminology
- Experience with CRM systems and administrative workflows
- Proficiency in Canva and familiarity with content tools (Descript, Riverside, etc.)
- Strong written communication and organizational skills
- Ability to manage multiple priorities and meet deadlines consistently

Work Style & Expectations

- Must have flexibility for monthly in-person content shoots in Jacksonville, including occasional weekends
